Job Description

Mission Statement

Core Responsibilities

  • Monitoring and researching Notices of Violation (NOV) from the NYC DOT. Working knowledge of the NOV process and the Summons System is desired. Duties also include the ordering of NYC DOT permits, tracking of work in Con Edison's Layout Tracking System (LOT), dispatching of work to field forces, and assisting with the preparation of presentation materials on training and business topics.
  • Monitor and work in the paving application and summons system of NYC DOT. Knowledge of CARs
  • The Associate Specialist ensures that safe work practices are followed and the environment is fully protected in accordance with Company policy and governmental regulations.
  • Requests documentation from the Company's contractors required to support Unit Price Contract payments.
  • Ensures all required documents, paperwork, photographs, etc. are contained in payment folders before submittal to the Chief Construction Inspectors (CCI) for review and final payment.
  • Responsible to secure, monitor and maintain payment folders from initial submittal by Inspectors and Construction Representatives (CR) through final payment and filing.
  • Assist with the resolution of contractor exceptions to proposed payments (claims).
  • The Associate Specialist will support the department goals and Key Performance Indicators (KPI's).
  • The position requires a commitment to the Way We Work Principles, and adherence to the Company's Standards of Business Conduct and other Company procedures including Environmental, Health and Safety (''EHS''), Equal Employment Opportunity (''EEO''), discipline, and security.
  • May perform other related assignments as required to support departmental needs
  • Perform invoice and receipting tasks in Oracle

Required Education/Experience

  • High School Diploma/GED And a minimum of 5 years relevant work experience Relevant work experience includes: Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records Or
  • Associate's Degree And a minimum of 4 years of relevant work experience. Relevant work experience includes: Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records Or
  • Bachelor's Degree And a minimum of 2 years of relevant experience Relevant work experience includes: Experience in office management, utilization of spreadsheets and databases to track and monitor work queues; interfacing with customers and/or contractors, filing, setting-up and following-up with appointments along with updating financial records

Preferred Education/Experience

  • Bachelor's Degree And related field and 2 year relevant work experience is acceptable. Other Physical Demands

  • Must be able to respond to Company emergencies by performing a System Emergency Assignment to restore service to our customers.
  • Must be able to travel within the Company service territories, as necessary.
  • Must be able to work flexible hours including weekends and holidays as required
  • Must be able to work in hot or cold climates during emergencies i.e. Storm Duty.
